Operations Manager, Plymouth Center for the Arts
Description:  

Manage Daily Operations at PCA

  • Reporting to the Board President, manage and provide direction to PCA contractors and staff including Business Administrator, Maintenance & Cleaning Companies, Groundskeeper, and other outside contractors.
  • Act as the resource for volunteers, including Guest Service/Front Desk phone call/visitor questions & rental leads/questions. Responsible for solving any on-site needs that arise during the regular Gallery open hours. Report and help resolve any facility issues that occur during Gallery Hours. Handle any onsite needs of artists, students, volunteers and visitors.
  • Have a working knowledge of all PCA Policies and provide guidance to Board Officers and working Committees.
  • Work closely with all departments, committees, staff and volunteers. Provide oversight for committee activities, expenditures, etc.
  • Coordinate scheduled facility work and serve as the single point of contact.
  • Review and approve Master Calendar being distributed monthly to committees by the Business Administrator.
  • Attend Committee meetings when requested by Committee Chairperson.
  • Record all incident/interactions reports and report them to the PCA Board to be addressed when necessary.
  • Prepare a monthly report on PCA operations & issues for Board review.

Plan and Manage Events

  • Develop and manage external events as a revenue stream.
  • Respond to rental space inquires (studio/events). 
  • Show the space to potential rental clients (during normal operating hours only). Generate contracts (in Square) for all rentals.
  • Coordinate volunteers, equipment, support staff, cleaning, table set-up, sound system, and other required services. 
  • Communicate with clients (during regular hours).

Technology

  • Working knowledge of MS365, CRM databases (e.g., Little Green Light), Square Retail/Online & Reporting, Constant Contact, Website development and maintenance, Social Media platforms.
  • Provide coverage for all systems when volunteers are unavailable.
  • Ensure Business Administrator provides and manages Microsoft 365 accounts for leadership positions (including dedicated folders on the shared drive).
  • Manage Square Retail & Online systems, user documentation, and reporting. Ensure Business Administrator provides Square Retail training (new and remedial) to volunteers.
  • Working with designated volunteers, manage the PCA website design & its content.
Requirements:

  • On site position- General expectation is manager will be on site during Gallery Open hours (Wed-Sat 10-4 and Sun 1-4).  Anticipate 30 hrs per week.
  • Compensation: $30,000 ($20/hr) for an anticipated 30 hours per week for 50 weeks - after a successful 6-month review, a 1-year contract and compensation increase to $25/hr will be offered.
  • Resumé with 3 references required and a background check will be processed.
  • High School plus a minimum of 2 yrs college and 2 yrs work experience.
  • Live in the community of Plymouth or a neighboring town.
  • Familiarity with commercial building systems including heating system, ventilation, fire alarms, smoke detectors, lighting, door fob and code and locking systems, security and security camera access, storage of cleaning supplies.
